Pine Grove Community Association

These terms apply to Pine Grove Hall rentals. Your Pine Grove-approved dates, facility areas and charges will appear in your rental agreement. The signed agreement and approved charges control if they differ from this general information.

Before your event

The rental balance and any required proof of event liability insurance are due at least one month before the event. If liquor will be served, a valid Alberta Special Event Licence is also required.

Booking and payment

  • A booking takes effect after the rental agreement is signed and the $300 security deposit is paid.
  • The security deposit secures the approved date, time and facility areas. It is separate from the rental fee.
  • If a renter cancels within one month of the event, Pine Grove Community Association retains the security deposit.
  • Multiple events or subletting under one booking are not permitted.
  • Damage beyond the security deposit remains the renter's responsibility. The deposit is returned when there are no grievances or approved deductions.
  • Send e-transfers to eft@pinegrovehall.ca and include the rental agreement number in the message.

Check-in, checkout and cleaning

At check-in, the renter receives cleaning guidelines, tours the facility and grounds, records any concerns, and receives the keys. At checkout, the renter or a delegate must attend the inspection and return the keys. Pine Grove may withhold the deposit until discrepancies are resolved.

The inspection includes parking and camping areas, pavilion, hall, kitchen, washrooms, diamonds, horseshoe pits, outhouses, decorations, garbage and recycling, floors and fridges. Renters provide their own supplies and diamond equipment and complete any diamond preparation during booked times.

Event liability insurance

Pine Grove will confirm whether event liability insurance is required for your rental. When required, coverage must remain in force for the full rental term, from entry through exit, with a limit of at least $2,000,000 per occurrence.

  • Pine Grove Community Association must be named as an additional insured.
  • The policy must include cross liability, severability of interests and contractual liability for the rental agreement.
  • Host liquor coverage is required when applicable.
  • Ball-tournament insurance must be specific to ball tournaments.
  • When insurance is required, a certificate must be provided at least one month before the event. Without satisfactory proof, the agreement will be cancelled and facility use cannot begin.

Liquor service

Free liquor service requires an Alberta private non-sale Special Event Licence. Selling liquor requires a private resale Special Event Licence. The renter must apply through AGLC and provide Pine Grove Community Association with a copy of the licence at least one month before the event.
